Job Description:
General Summary: Under the general direction of the Director of
Professional Development and Student Support, the Registrar and
Scheduler is responsible for the oversight and maintenance of
student schedules, records, production of grade reports and
transcripts and using Collegiate's systems to manage data related
to course descriptions, grading, graduation requirements and other
student information related to matriculation. This position assists
with creating a schedule, working with Division Heads. The
Registrar and Scheduler interfaces with various stakeholders and is
tasked with supporting the mission of the school through specific
duties and responsibilities involving the on-boarding of new
students and families, maintenance of accurate records for current
students, and support of the school's faculty, staff and
administration.Essential Duties:
- Imports new student information, securing and verifying data
and preparing files and records.
- Evaluates transcripts of incoming students and takes
appropriate action to ensure completeness/accuracy.
- Inputs and maintains accurate transcript information throughout
the school year, in collaboration with College Counseling.
- Provides faculty and administrators with guidance on Blackbaud
LMS.
- Coordinates with offices around the school to ensure alignment
of LMS database with other databases.
- Monitors student records for graduation requirements.
- Maintains permanent student archive including data on
enrollment and academic information.
- Assists with creating a schedule, working with Division
Heads.
- Process the year-end rollover and new academic year progression
of student database records to ensure that records reflect the
proper graduation, grade level, matriculation status of all
students, and withdrawal of departed students.
- Prepares achievement lists as requested.
- Assists with the transfer of credit process, including
distributing/collecting applications, obtaining pre-approval from
appropriate academic head, communicating with family and
educational source, and recording transfer data.
- Produces and forwards transcripts as requested.
- Processes withdrawing students, including processing and
forwarding records.
- Prepares records and reports regarding student enrollment as
required.
- Maintains student records to include archival and disposal of
records according to the school's records retention policy.
- Creates an environment and interacts with families in a way
that is aligned with our school culture priorities.
- Pursues professional development opportunities as appropriate
to remain current with best practices.
- Performs related duties as assigned. Education and Experience:
- A bachelor's degree from an accredited college or university in
a related field; and a minimum of 2-3 years of related experience,
or equivalent combination of education and experience. Special

and Work Contacts:Regularly required to stand; walk, use hands to
finger, handle, or feel; reach with hands and arms and stoop,
kneel, crouch, or crawl. Frequently lift and/or move up to 10
pounds and occasionally lift and/or move up to 25 pounds.
