Program Coordinator, reporting to the Senior Director of Continuing
Education, plays a crucial role in coordinating and executing
successful in-person, online and hybrid continuing education
programs and events. Primary responsibilities involve overseeing
all aspects of event planning, setup, and day-of execution to
ensure a seamless experience for participants, speakers, and
vendors.The CE Program Coordinator is a highly organized
administrative professional with a strong interest in events. This
individual has an innate ability to take initiative, anticipate
needs and proactively address potential challenges before they
arise. Moreover, the Program Coordinator is a master communicator,
adeptly liaising with various stakeholders, vendors, and
participants. The CE Program Coordinator will work with the highest
level of professionalism and will occasionally be required to work
early mornings, late evenings, and some weekends to support
assigned onsite and virtual programs.Job DescriptionJob
ResponsibilitiesSupport the Assistant Director of Event Services
for Institutional Advancement by reserving and setting up internal
spaces, creating event signage, ordering supplies, coordinating
logistics with internal departments and event staff.During events,
managing attendee check-in, adhering to program schedules, and
addressing any inquiries or issues that arise.Handle speaker
communications including collecting relevant information,
disclosures and agreements.Administrative tasks such as creating
online registration and courses in the Continuing Dental Education
portal, managing the CE inbox, coordinating speaker travel and
lodging, processing vendor and speaker payments, managing supply
inventory and updating webpages.A critical aspect includes ensuring
compliance with American Dental Association Continuing Education
Recognition Program (ADA CERP) guidelines by maintaining and
updating educational materials and uploading attendance
reports.Input critical program details into various systems -
SmartSuite, Zoom, Ben Buys, Penn Dental Medicine Continuing
Education Portal, Smartsheet, Marketing Cloud, Sprout Social,
Vimeo, Canva, and other platforms as required to ensure seamless
program experience.Perform additional administrative duties and
projects as assigned.QualificationsBachelor of Arts and 2 to 3
years of experience or equivalent combination of education and
experience is required; experience preferably coordinating programs
or special events in a corporate or university environment.Ability
to work autonomously and in a team-based environment.Experience
with public speaking a plus.Proficiency with Outlook, PowerPoint,
Excel, Zoom, Teams and ability to easily adapt to new
systems.Effective project management skills for management of
ongoing multiple priorities.Ability to maintain composure,
effectiveness, and a pleasant demeanor under pressure.Effective
oral and written communications skills, to listen actively and
explain information clearly.Ability to work weekends, early
mornings and evenings as needed for programs and special events.Job
